Give the chatbot the source material and say what kind of document you need. Ask it to flag gaps rather than fill them with guesses. Then compare the draft with the original notes. A tidy summary may omit a condition, change who owns a task, or make a suggestion look like an approved rule. When reviewing a document, ask for the location of each issue so you can inspect it in context. For contracts or other high-consequence documents, use AI to organize questions for a qualified reviewer rather than treating its interpretation as approval. ### Five minute exercise 1. Spend one minute reading the fictional notes. 2. Spend two minutes creating an opening checklist. 3. Spend two minutes checking that every source detail appears and that missing owners stay visibly unassigned. 4. Optional stretch, about two more minutes: run the harder version below in a new chat. ### Copy this prompt Copyable promptCopy prompt Turn these fictional shop notes into a short opening checklist for the team. Notes: - Before opening, the shift lead checks the appointment list. - Someone checks the shared inbox for appointment requests; we have not assigned an owner yet. - The front desk confirms which jobs are ready for customer collection with the workshop lead. - Any unclear price or completion estimate goes to the owner before a customer receives an answer. Use only these notes. Do not invent opening times, deadlines, tools, or business policies. For each step, include the action and the responsible person. Mark missing owners “To be assigned.” End with a short list of questions the owner needs to resolve. **Harder version:** This one no longer tells the chatbot how to handle a missing owner. It should retain the requirement to resolve uncertain prices and timing before replying to customers. In the harder version, check whether the chatbot quietly assigned someone to the inbox. If it did, the notes did not say that, so you would need to catch it yourself. **Swap in your business:** Write four short fictional notes about a routine in your own business, include one task with no owner, and run the same prompt.
